Our small but dynamic team plays a vital role in supporting our veterinarians and clients. We are currently seeking a part-time Administrative Assistant to join our team three days per week (in-office). This role is ideal for someone who thrives in a fast-paced, team-oriented environment and takes pride in providing exceptional service. The ideal candidate is organized, detail- oriented and capable of managing multiple priorities efficiently. They are a proactive problem-solver who anticipates needs, maintains discretion and professionalism and contributes positively to the overall client and team experience.
Key Responsibilities:
- Serve as a first point of contact for clients, answering phones, responding to emails and greeting visitors.
- Assist with client communications, processing payments, responding to appointment requests, handling of medical record requests, sending reminders and managing client follow-up.
- Provide administrative and organizational support to the veterinarians and management team, including data entry, report preparation and filing.
- Maintain accurate records, correspondence and documentation for clients and patients.
- Assist with invoicing, billing reconciliation and basic bookkeeping tasks.
- Monitor and order office supplies and forms as needed to support daily operations.
- Manage all equipment and vehicle maintenance and repair.
Qualifications:
- Minimum of 1-2 years of experience in the equine industry, veterinary practice experience a big plus.
- Excellent communication skills, and customer service standards.
- Ability to work both independently and collaboratively in a team environment and willing to learn and take on new responsibilities.
- Proficiency with computers and ability to learn and adapt to practice management software is a must (HVMS).
